Users are the people who receive calls, messages, voicemails, or faxes through your Line2 account. Each user can be assigned extensions, direct dial numbers, voicemail settings, call forwarding rules, and additional features based on your business needs.
Important: Adding a new user may result in additional charges based on your account plan and selected features.
Add a New User
To create a new user:
- Sign in to your Line2 Account Manager.
- Select Auto Attendant.
- Click Users.
- Select New User.
All users include:
- Voicemail
- Messaging
- Customizable personal greetings
- Individual call settings
Each user can have up to three phone numbers assigned to their account.
Choose a User Type
During setup, select the user type that best fits your needs.
Standard User
A Standard User is designed for an individual employee and is available when a Phone System is enabled.
Use this option when you want a user to:
- Receive calls through an extension
- Be included in the Phone System menu
- Receive calls through a direct dial number
- Use voicemail, messaging, call forwarding, and personal greetings
Examples:
- Sales representative
- Office manager
- Customer support agent
Fax Only User
A Fax Only User is used exclusively for receiving faxes.
Features include:
- Dedicated fax number
- Fax inbox storage
- Email forwarding of received faxes
Callers dialing a Fax Only number will hear a fax tone.
Stand Alone User
A Stand Alone User can only be reached through a direct dial number.
Use this option when:
- The user does not need an extension.
- The user should not appear in the Phone System menu.
- The user requires voicemail, messaging, call forwarding, and personal greetings.
Stand Alone Users cannot be accessed through your Phone System.
Complete User Information
After selecting a user type, enter the following information:
Basic Information
Provide:
- First and last name
- Password
- Time zone
Click Next to continue.
User Permissions
Select the appropriate permission level for the user.
Basic User
Basic Users can manage only their own account preferences and settings.
Power User
Power Users can:
- Create and edit users
- Reset passwords
- Update account-wide settings
- Manage billing information
Administrator
Administrators have all Power User permissions and additionally:
- Serve as the primary account contact
- Receive billing notifications
- Receive system communications from Line2
Only one Administrator can be assigned per account.
Add Email Addresses
- Enter an email address.
- Click Add Email Address.
- Repeat as needed.
You may assign multiple email addresses to a user.
Assign an Extension
If your Phone System is enabled, you can assign the user to a Phone System and extension.
Phone System
Select the Phone System where the user will be assigned.
Extension
- Extensions are automatically assigned.
- Extension numbers can be customized up to six digits.
Extension Name
The Extension Name is used for directory listings and caller searches.
Optional Features
Call Queuing
When enabled, calls continue cycling through the user's forwarding destinations until answered.
Company Directory
Allows callers to search for the user by extension name.
Fax Recipient
Assigns the user as a recipient for incoming faxes.
Add Phone Numbers
To route calls to the user:
- Enter the phone number.
- Add a description.
- Select the number of rings.
- Click Add Phone Number.
- Click Next.
Tip: Many administrators use an employee's existing mobile or office number to receive Line2 calls.
Additional Features
You can enable optional add-on services during setup.
Voicemail to Text
Automatically converts voicemail messages to text and delivers them along with the audio recording.
Analytics Reports
Provides call reporting and analytics across your account. When enabled, all users on the account can access analytics data.
Call Recording
Records inbound and outbound calls. Additional charges may apply.
Add a Direct Dial Number to an Existing User
A Direct Dial Number allows callers to reach a user directly without navigating through the Phone System.
To add a Direct Dial Number:
- Sign in to your Line2 Account Manager.
- Navigate to Auto Attendant > Users.
- Click Edit next to the desired user.
- Open the Direct Dial Numbers section.
- Use the available filters to search for a number.
- Select the desired number.
- Click Add.
- Click Done.
Add Features to an Existing User
To add or modify user features:
- Sign in to your Line2 Account Manager.
- Navigate to Auto Attendant > Users.
- Click Edit next to the user.
- Open the Additional Features tab.
- Select the features you want to enable.
- Click Save and Close.
